HOW TO USE EMAIL REMINDERS AND EMAIL SUBSCRIPTIONS IN THE UNC - CSCC Administered Website Calendar |

"Email Reminders" are independent from "Email Subscriptions."
You can have Subscriptions w/out Reminders, and vice/versa. The "Reminder" times
are not used for Subscriptions. Reminder and Subscription messages are not sent at the
time an event is created, but instead are sent relative to the date and time an event
is scheduled to occur. Additionally, the "Send reminder email before" settings do not affect the Subscription messages. Subscription mail is always sent at the beginning of the day - and only once per day. |
| Email Reminders |
| Reminder messages are sent at pre-specified times before an event is scheduled to occur; e.g. "2 hours before." The times and email addresses are specified when the event is created or modified, so only users with at least Add permission can set them up. These are typically used for a users personal calendar. |

| Reminders are intended to be used/configured by the person creating the event. Subscriptions are for people who can View the calendar, but might not be able to create events. The administrator can put in multiple email addresses separated by a comma. |
| Email Subscriptions |
| Subscription messages are sent to anybody who signs up for them - any user who can view a calendar can sign up, at any time. These messages are sent a certain number of days in advance of the date of the event. The number of days is set by the calendar administrator and remains the same for all events in a given calendar. |
| There are two ways to subscribe to email reminders: |

Subscribe via popup window: | |

Enter an email address on the popup window for an individual event. If there is no popup window
for an event, the Options menu is the only way to subscribe. Note: Subscription messages are not available for events in the past, so, the space to enter an email address will not appear in the popup window for an event that has already occurred. |

Click "Options" at the bottom of the calendar page. Select "Email Subscriptions" Enter your Email Address Choose whether to subscribe to: Every event in the calendar, All events in certain categories, Only events you've specifically requested, or None to remove existing subscriptions Click the "Save" button (Note: To select multiple categories, hold down the Ctrl key, then point and click categories.) |

Users who subscribe via the "Options" > "Email Subscriptions" will appear
in the "Settings" > "Email Subscriptions" that is accessible to the
administrator. Subscriptions are sent out at 12:07am on the number of days listed in
"Settings" > "Email Subscriptions" > "Days in advance to send mail."
The message will be sent out regardless of the existence of data in "Enter a URL, or
text for a popup window" for an event. Helpful hints: Predefine categories for events to be included in your calendar. This allows users to subscribe to events by category. Remember that the "remind me" option for a single event is only available through that event’s popup. So, if your event is not assigned a category AND does not have a popup, users cannot subscribe to a reminder.
